Privacy Policy

1. Introduction

This Privacy Policy describes how Mr. K's Chatbot, owned and operated by Kaizen Paint, handles information in connection with its use by Kaizen Paint employees. The Chatbot is an internal tool accessible only to authorized Kaizen Paint employees who hold an active kpme.com email account registered on official Kaizen Paint platforms such as Microsoft Teams and Outlook.

2. Who Can Access This Chatbot

Mr. K's Chatbot is strictly for internal use within Kaizen Paint. Access is limited to employees authenticated through their official Kaizen Paint Microsoft account. Only users with a valid kpme.com email address registered in the organization's Microsoft environment (Teams, Outlook, etc.) are permitted to use this Chatbot. Unauthorized users cannot access the Chatbot.

3. Information Available to the Chatbot

The Chatbot does not independently collect, store, or process any personal information. The only identity information available to the Chatbot is what is already associated with your authenticated Microsoft account — such as your name, email address, and organizational profile — which was established at the time your corporate account was created. This information is provided automatically by Microsoft's authentication infrastructure and is not gathered or stored by the Chatbot itself.

The Chatbot does not retain any conversation data or user information beyond the active session. No personal data is stored by the Chatbot.

4. How Information Is Used

The authenticated identity information from your Microsoft account is used solely to verify that you are an authorized Kaizen Paint employee and to facilitate your interaction with the Chatbot. This information is not used for marketing, profiling, or any purpose beyond the Chatbot's operational function within the organization.

5. Data Security

Authentication and access control are managed entirely through Microsoft's identity and security infrastructure, which enforces Kaizen Paint's organizational security policies. Only users authenticated via the Kaizen Paint Microsoft tenant can access the Chatbot. Kaizen Paint does not manage or store authentication credentials outside of the Microsoft platform.

6. Third-Party Services

The Chatbot is built on Microsoft Azure and related Microsoft services. These platforms operate under Microsoft's own terms and privacy practices. Kaizen Paint does not share employee information with any external third parties through this Chatbot.

7. Changes to This Policy

Kaizen Paint may update this Privacy Policy from time to time. Updates will be communicated through official internal channels. Continued use of the Chatbot after any update constitutes acceptance of the revised policy.
